Dear Clients,

Each quarter, PayServ uploads a file to the Social Security Administration (SSA) to verify the social security numbers your employees have provided.  The SSA then returns a list of any employee whose social security number was invalid for one reason or another.

With your next payroll, you may receive a list of invalid social security numbers for individuals who are/were under your employment.  This list will indicate what the provided social security number is, the employee's name, and the return reason code.

A code 1 indicates a social security number that has never been issued by the SSA.  A code 5 indicates that an employee's name does not match the name the SSA has associated with that social security number.

Errors with social security numbers can result in misfiling of your employees' taxes wit the taxing agencies.

We ask that if you receive a notice with your payroll that you review your employees' files and make sure that the correct social security number is provided to us.  You may update the employee information via PayEntry, fax the correct information to Customer Service at (866) 397-8306, or email the correct information to Customer Service at service@payservsystems.com.

Please feel free to contact our office with any questions at (260) 624-3200.

Thank you,

PayServ Staff
